The system enabled us to monitor bookings and make sure each resident was able to receive visitors in accordance with the latest government guidance. This was particularly important as the guidance was continually changing. It also gave us flexibility to implement any booking changes or cancellations swiftly, including specifying the numbers of visitors and the appropriate location.
When the COVID-19 pandemic hit, Castel Froma Neuro Care urgently needed a new booking system that enabled their residents to still receive visits from relatives and friends, but in a highly co-ordinated way. Resident safety is paramount and all bookings had to be carefully planned in line with the latest COVID-19 Government guidance. For instance, they wanted to give visitors the option of which of their two care centres they visited and provide them with the choice of indoor and outdoor visits.
At the same time, all visits had to take place in accordance with evolving Government guidance. Meanwhile, the overall process had to be flexible enough for Castel Froma Neuro Care to be able to adapt to the latest restrictions. To maintain resident safety, visitor volumes had to be strictly monitored and minimised, where possible.
After researching and testing a number of solutions, we identified the popular booking system, Bookly, as being the ideal platform to help tackle Castel Froma Neuro Care’s challenges.
And to make sure the solution we provided was 100% right, our web development team created a custom plugin. By introducing this software add-on, we essentially enabled Bookly to take care of Castel Froma Neuro Care’s entire visitor booking requirements.
Visitors could use their personal details to register an account and set themselves up on the new system. We also created a step-by-step form with instructions to make the system even easier for them to use.
Arranging a visit was equally straightforward; visitors simply had to say who they were visiting, when they would like to visit, how many people were attending and which centre they were visiting. These details were then automatically sent to Castel Froma Neuro Care’s team for approval.
